How to organize digital assets

Most media libraries don't start out disorganized — they get that way gradually, one reasonable-at-the-time decision at a time. A few habits, applied consistently, keep a library usable as it grows from dozens of files to tens of thousands.

Pick a naming convention and stick to it

A good filename carries information even outside the system that stores it: date, project or client, and a short description, in a consistent order — for example 2026-03-14_acme-launch_hero-01.jpg. The exact format matters less than consistency. A predictable pattern makes files sortable and searchable even before you open a folder.

Use folders for structure, tags for context

Folders work best for the stable, hierarchical parts of your library — by client, by year, by project. Tags or collections work best for the things that cut across that structure, like “approved for social” or “hero shots,” where an asset might belong to more than one group at once. Trying to model everything with folders alone usually leads to either painfully deep nesting or a second, informal tagging system built out of folder names.

Deal with duplicates as they happen

Duplicate files creep in through re-imported memory cards, repeated uploads, and files shared between teammates. Left unchecked, they inflate storage and make it unclear which copy is the “real” one. The cheapest time to catch a duplicate is at upload, before it's been organized, tagged, or shared — not months later during a cleanup project.

Know when to archive

Not every asset needs to stay in the active library forever. A reasonable rule of thumb: if a project is complete, a campaign has ended, or a file hasn't been accessed in a defined window, move it out of the working library into an archive tier. This keeps day-to-day search fast and keeps the active library focused on things people actually need to find quickly, while nothing is deleted outright.
